1. How do I know which DYMO File™ product to buy?
DYMO File™ Office and DYMO File™ Professional have identical features, with one exception. DYMO File™ Professional offers unlimited scanning, whereas DYMO File™ Office is limited to 5000 pages per month (or about 250 pages per working day). So your choice of product depends upon how much scanning you think you will do. Keep in mind that once you start scanning, you might find that it is so easy; you’ll want to scan documents – allowing you to have most files electronically.

2. What are the system requirements?
To run DYMO File™ software, you will need to be running Windows Vista or XP, with 512 Mb RAM and 215 Mb of available hard disk space.

3. Will DYMO File™ software work with my scanner?
If your scanner has an automatic document feeder, it will most likely work with DYMO File™ software. DYMO File™ supports network scanners with “Scan to File” capability as well as PC- connected TWAIN scanning.

4. Does DYMO File™ work with flatbed scanners?
No. DYMO File™ is designed to work with scanners that have an automatic document feeder (ADF) that is not available in flatbed-only scanners.

5. My scanner is on a network, can I use DYMO File™ software?
Yes! When you install DYMO File™, the installation wizard will ask you questions about your scanner and whether or not it is connected to your PC on a network.

6. How will DYMO File™ software save me time?
When you think about how most scanning software is set up, it is not very efficient. Typically, one must scan the document to a central folder of scanned documents. Then, the user must locate that document and rename it from a lengthy alphanumeric number generated by the software. Once the file is renamed, the user then moves it to the desired folder. This process is repeated over and over for multiple documents. Some scanning software requires this process for each page of the document, not just each document.

7. Why should I add a DYMO® LabelWriter® printer?
When you connect a DYMO® LabelWriter® printer to your PC, DYMO File™ can print barcodes on small self-adhesive labels that you apply to each document (the first page only) without leaving your desk. This is convenient and efficient for most users. If you don’t use a LabelWriter® with DYMO File™, you can print the barcode on plain paper from your existing laser or inkjet printer. You will then lay that sheet (barcode facing up) on top of your document as a cover sheet and you will scan the document with the cover sheet.

8. I have a document that has no room to place a label, what can I do?
Occasionally, there are documents that have no empty space, or documents to which you simply do not want to apply a label. In that case, you can select to print the barcode to plain paper, rather than the DYMO® LabelWriter®. Place that paper with barcode facing up on top of your document and scan the document with the barcode cover sheet.

9. If I buy DYMO File™ Office and I want to scan more than 5000 pages a month, what happens?
If you exceed the 5000-page allotment for a month, DYMO File™ will simply wait until the first day of the next month to begin processing your scanned documents.

10. If I buy 2 copies of DYMO File™ Office, how many pages can I scan?
Each copy of DYMO File™ Office allows you to scan 5000 pages per month; therefore you could scan 10,000 pages per month with two registered copies of DYMO File™ software.

11. Can I share DYMO File™ software?
DYMO File software is licensed by desktop or user. That means you cannot install the software on more than one computer. If you purchase DYMO File Office, you will be able to scan 5000 pages on that computer and if you purchase DYMO File Professional, you will have unlimited scanning available on that computer.

12. Can I use one DYMO® LabelWriter® printer with multiple copies of DYMO File™ software?
Yes. The DYMO® LabelWriter® printer can be connected as a network printer so that all users can print to the same LabelWriter®. You can optionally print the username on the document barcode label so that the label can be easily once printed.

13. What is a “searchable” digital file?
DYMO File™ software is powered by ABBYY™ Fine Reader™. When you scan your document, the software will use OCR (optical character recognition) to create a document with editable text, not just a picture of your document. This means that you can use the find tool in DYMO File™ (or other search tools on your PC) to find documents according to words that appear in the document.

By scanning documents into Microsoft Word or Excel, you have a fully-editable version of your paper document.

14. How can I increase security and keep files private using DYMO File™?
By using DYMO File™, you can reduce the paper handling of private documents– for example documents do not have to sit around on a fax machine because you can transfer documents electronically. Similarly, with less handling of paper documents, it may be easier to reduce document loss. With electronic copies of your paper documents, you also create a “back up” system for documents that may be helpful in disaster recovery situations such as fire or flood. And since your documents are digital and stored on your network, standard network access controls help you keep sensitive documents secure.

15. My business has several copier/scanners, how can I connect DYMO File™ software?
DYMO File™ includes a very easy setup wizard to quickly change which copier or scanner you may be using. Since most copier/scanners provide scan to file capabilities, changing this setting is as easy as pointing DYMO File™ to a different incoming scan folder.

16. I’ve seen other software that includes document indexing, does DYMO File™ include this?
No, and for a very good reason. Document indexing systems allow you to enter “other” information in fields so that you can retrieve them later. But these systems require a database, IT expense, and are very complex.

DYMO File™ bypasses this complexity and allows you to manage your paper documents exactly like you already manage your electronic files - on your computer or network. This means you are storing documents in folders and giving the document a meaningful file name. Because this is a much more intuitive method for organizing paper and because DYMO File™ makes all documents text-searchable, no document indexing time, expense, or complexity is required; and all documents are easily organized and found.

17. What IT support is needed for DYMO File™?
DYMO File™ installs in minutes and doesn’t require a database, network administrator, or any special computer skills.

18. Do I have to apply a barcode to each page of my document?
No. You apply a barcode only to the first page of a multi-page document. DYMO File™ software recognizes that a barcode is the first page of your document and the pages that follow the barcode are part of the same document. When it reads a new barcode, it knows to separate the new document from the last document.

19. What if my document already has a barcode on it?
DYMO File™ software knows how to identify its own barcodes. If your document contains an additional two-dimensional barcode (e.g. a UPC), DYMO File™ software will decode the barcode and include that information in the electronic file generated after scanning. DYMO File™ does not decode 3D barcodes.

20. How does it handle color documents?
DYMO File™ software maintains the color in your original document based on your scanner capabilities. If you use a color scanner, DYMO File™ software will save the document in color.

21. In Excel and Word, how is formatting handled by DYMO File™ software?
Powered by ABBYY™ Fine Reader™ OCR, DYMO File™ software can maintain much of the formatting of paper documents such as tables in Microsoft Word and Excel. This varies by complexity of the formatting. DYMO File™ software will also scan and maintain the document’s pictures and images.

22. How do templates work? How do I create new ones?
DYMO File™ software includes templating tools that make it easy to create folders commonly used. For example, if you have a law practice, you can create a client folder template so that each client has its own folder and also has a series of folders inside the client folder.

Each time you add a new client, DYMO File™ software can automatically create this folder system for the client, making it easy and consistent to save your files in the proper folder.

23. How is DYMO File™ software different then other scanning programs?
DYMO File software is designed to process and archive all your important documents. Unlike some traditional desktop scanning software, DYMO File is optimized to scan and file stacks of documents. DYMO File delivers many of the advantages of a digital filing system but is less complex and more affordable than large-scale systems.

24. Doesn’t my scanner come with software?
Scanners often come with software. If you only want to scan now and then, this included software may satisfy your needs. If you want to scan multi-page documents, stacks of documents, or your business deals with a lot of paper work, DYMO File™ software offers many advantages including a more efficient process for processing many pages.

25. Does DYMO File™ support "Scan to Email" hardware?
No, DYMO File™ only supports Scan to File enabled devices. However, most copiers and all in ones that support Scan to Email can be configured to Scan to File. Please contact your office equipment provider to find out if your device supports this feature.

26. How does the free trial work?
You can try DYMO File™ software free for up to 30 days to scan up to 500 pages.  You can  register  once for the free trial.  Register for your free trial here.

27. How can I upgrade my DYMO FileTM Trial version?
Purchase DYMO File™ Office or Professional edition. You will receive an activation key by email (or with your CD if you purchase the boxed version). Launch the trial version of your software and when prompted, simply enter your activation key. There is no need to reinstall the software.

28. When will the boxed version of the software be available?
Currently DYMO FileTM Office and Professional software versions are available as download versions only. Boxed versions will be available in October.
